Privacy policy

This Privacy Policy explains how Robotx Limited (NZBN 9429053733078) (“Robotx”, “we”, “us”, “our”) collects, uses, stores and discloses personal information collected through our website at robotx.co.nz and through our dealings with prospective and existing customers, manufacturer partners and other contacts in New Zealand.

We handle personal information in accordance with the Privacy Act 2020 and its information privacy principles (IPPs). “Personal information” means information about an identifiable individual.

1. Information we collect

We collect only the personal information we need for our business activities (IPP 1). This includes:

  • Contact details such as name, email address, phone number, organisation and role.
  • Information you provide through our enquiry form, such as your industry, region, number of sites and the details of your enquiry.
  • Records of correspondence and meetings related to your enquiry or engagement with us.
  • When we supply, deploy or support equipment, site contact details and other information needed to perform the work.
  • Technical information about your visit to our website, such as IP address, device and browser information, and pages visited, collected through standard server logs kept by our hosting provider.

We do not knowingly collect sensitive information through our website. Please do not send it to us unless we ask for it for a specific purpose.

2. How we collect information

We collect personal information directly from you where we can (IPP 2): when you complete the form on our website, contact us, meet with us, or deal with us in the course of a sales, partnership or service discussion. Sometimes we collect it from someone acting on your behalf, such as a colleague arranging a site assessment, or from publicly available sources. When we collect information from you, we take reasonable steps to make sure you know why we are collecting it and who will receive it (IPP 3). When we collect it from someone else, we take reasonable steps to tell you the same things as soon as reasonably practicable, unless an exception in the Act applies, for example where the information is publicly available or you already know (IPP 3A).

3. How we use information

We use personal information for the purposes it was collected for, or directly related purposes (IPP 10), including to:

  • Respond to enquiries and arrange consultations and site assessments.
  • Scope, quote, supply, deploy, service and support equipment for customers.
  • Administer manufacturer warranties and arrange parts and servicing.
  • Manage manufacturer partner discussions and arrangements.
  • Operate, maintain and improve our website and business processes.
  • Meet our legal, tax and accounting obligations.
  • With your consent, send occasional updates relevant to your organisation. You can opt out at any time.

4. Disclosure of information

We do not sell personal information. We may disclose it, where permitted by IPP 11, to:

  • Service providers who support our operations, such as website hosting, our website form provider (Web3Forms), email, customer relationship management, accounting and IT providers.
  • Manufacturer partners and freight and logistics providers, where this is needed to fulfil an enquiry, order, warranty or service request.
  • Robotx Pty Ltd, our sister company in Australia, which helps us respond to enquiries and deliver projects.
  • Professional advisers such as lawyers, accountants and auditors.
  • Government agencies, regulators or law enforcement where required or permitted by law.

5. Information sent overseas

Some of the recipients above are outside New Zealand, including in Australia, the United States and China. Where an overseas service provider holds information only on our behalf, such as a cloud email or website service, we remain responsible for it. Where we disclose personal information to an overseas organisation, we do so only as allowed by IPP 12: for example, where the recipient is subject to privacy laws or contractual safeguards comparable to the Privacy Act 2020, or with your authorisation after we have told you that it may not be protected in the same way.

6. Cookies and analytics

Our website does not use advertising or tracking cookies. If you start the enquiry form and leave before sending it, your browser keeps a draft on your device so your answers are not lost. The draft is not sent to us until you submit the form, and it is cleared once your enquiry is sent.

If we enable website analytics, it will collect aggregated information such as pages visited and approximate location, and we will update this policy to say so.

7. Data captured by robotic equipment

Robots supplied by Robotx may use cameras and sensors for navigation and may connect to manufacturer cloud services. Information captured by equipment operating on a customer’s site is generally held and controlled by that customer, who is responsible for it under the Privacy Act 2020. We explain what each platform captures and how it can be configured, so customers can meet their own obligations, including telling people where cameras are in use.

8. Storage, security and retention

We take reasonable security safeguards to protect personal information against loss, unauthorised access, use, modification or disclosure, and other misuse (IPP 5), including access controls, encryption in transit and obligations on our service providers. No system is completely secure, and we cannot guarantee the security of information sent to us over the internet. We take reasonable steps to keep information accurate and up to date before we use it (IPP 8), and we keep it only for as long as we need it for lawful purposes (IPP 9).

9. Privacy breaches

If a privacy breach involving information we hold has caused, or is likely to cause, serious harm, we will notify the Privacy Commissioner and the people affected as soon as practicable, as required by the Privacy Act 2020.

10. Access and correction

You have the right to ask for access to the personal information we hold about you (IPP 6) and to ask us to correct it (IPP 7). You can make a request through our contact form. We will respond as soon as reasonably practicable, and no later than 20 working days after we receive your request, unless the Act allows an extension. If we do not agree to correct information, you can ask us to attach a statement of the correction you asked for.

11. Privacy officer and complaints

Our privacy officer is responsible for privacy matters at Robotx and can be reached through our contact form(please mention “privacy” in your message). If you have a concern about how we have handled your personal information, please contact us first so we can try to resolve it. If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
